Proposal Coordinator
ECOnorthwest has an immediate opening for a full-time Proposal Coordinator. This position is responsible for supporting ECO’s marketing and proposal development efforts. The role involves creating, coordinating, and submitting proposals and ensuring the production of high-quality marketing materials. The position is an entry-level role and works under the direct supervision of ECO’s three senior marketing staff members to contribute to ECO’s strategic priorities.

- Analyze and interpret Request for Proposals (RFPs) and other solicitation documents to understand client needs and project requirements.
- Assist in the coordination and preparation of proposals, including gathering necessary information, adhering to firm branding guidelines, and ensuring timely submissions.
- Facilitate meetings and communications among proposal team members to discuss strategy, progress, and assignments.
- Collaborate with teaming partners and other external entities as part of the proposal process.
- Conduct quality assurance checks on proposals, including proofreading for grammar, punctuation, and style consistency, as well as verifying the accuracy of the content.
- Support the maintenance of ECO’s internal marketing databases; maintain a repository of proposal documents, templates, and boilerplate content, including project descriptions, resumes of key personnel, and past performance references.
- Review, disseminate, and track potential public and private project leads to support the firm’s business development efforts
- Assist with website updates, e-mail campaigns, social media management, communications tasks, and events management.
- Bachelor’s degree in English, Writing, Marketing, Communication, Graphic Design, Journalism, or a related field.
- Experience in Microsoft Office (Word, PowerPoint, Excel), Google Workspace, and Adobe Creative Suite
- Excellent written communication skills.
- High level of organization and attention to detail.
- Ability to work effectively under tight deadlines and manage multiple priorities.
- 0–5+ years of experience in marketing, public relations, or a related field, preferably in the A/E/C industry.
Pay range:
- The salary for this full-time, non-exempt position will be commensurate with experience and market rates.
- Proposal Coordinator I pay ranges from $27.00 to $34.62 per hour.
- Proposal Coordinator II pay ranges from $32.69 to $37.02 per hour.
- This position is eligible for full company benefits, including medical/dental/vision/life/disability insurance, flexible spending accounts, 401(k), paid time off, and paid holidays. The position is also eligible for year-end profit sharing.

- Ability to work for long periods at a computer.
Location:
- Portland, OR
- This position will be based out of our Portland, Oregon office and collaborate with other team members across all our office locations. ECOnorthwest offers a hybrid work schedule. To ensure opportunities for collaboration and teamwork, employees located near our offices are expected to prioritize in-office work Tuesday through Thursday.
Schedule:
- Generally full-time, Mon-Fri 8-5.
